Responsibilities:
The Onboarding Specialist role includes the following primary responsibilities, with additional duties as assigned:
Onboarding Management & Execution

Own and manage the full onboarding lifecycle for new hires, ensuring all pre-employment requirements (e.g., credentialing, background checks, I-9 verifications) are completed accurately and on time.

Serve as the primary point of contact for new hires, providing clear and consistent communication throughout the onboarding process.

Track and resolve onboarding roadblocks in Workday and Checkr, collaborating with cross-functional teams (e.g., IT, Credentialing, Training & Education, Operations) to ensure readiness for each new hire’s start date.

Coordinate and facilitate onboarding sessions, including scheduling orientations, ensuring system access is granted, and preparing materials for an engaging Day One experience.

Ensure compliance with company policies, procedures, and regulatory requirements, maintaining accurate records in Workday and other HR technologies/systems.
New Hire Experience & Engagement (First 90 Days)
- Act as a key resource for new hires during their first 90 days, ensuring a smooth transition into their roles.
- Partner with Operations leaders and internal stakeholders to monitor new hire progress, provide proactive support, and address early-stage challenges.
- Develop and implement touchpoints, such as check-ins and feedback loops, to assess new hire satisfaction and identify opportunities to enhance the onboarding experience.
- Identify and escalate potential retention risks by tracking engagement trends and proactively addressing concerns.
Process Improvement & Efficiency
- Continuously refine and improve onboarding processes, ensuring efficiency, consistency, and an exceptional new hire experience.
- Document best practices and standard operating procedures, ensuring alignment across onboarding workflows.
- Partner with the Senior Specialist, Director, and other team members to identify opportunities for automation and process enhancements.
Stakeholder Collaboration & Support
- Work closely with Operations leaders, colleagues across the People Department, and other teams to align onboarding efforts with business needs.
- Assist in training and mentoring new onboarding team members as needed.
- Provide reporting and insights on onboarding metrics, including time-to-hire, onboarding completion rates, and new hire engagement.

Requirements & Qualifications
The Onboarding Specialist should possess the following qualifications:
- 2+ years of experience in human resources, onboarding, talent acquisition, or a related field within high-growth or high-volume environments.
- Strong project management and organizational skills, with the ability to manage multiple priorities and meet deadlines.
- Excellent communication and interpersonal skills, both written and verbal, with a customer-service mindset.
- Experience with HRIS systems (Workday preferred), background check platforms (Checkr preferred), and onboarding workflows.
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint) and the ability to navigate multiple systems simultaneously.
- Proactive problem-solving skills with the ability to identify and address issues independently.
- Commitment to fostering an outstanding new hire experience and ensuring a seamless transition into the organization.
- Willingness to adapt to evolving processes and business needs.
